KonfHub AI Privacy Notice

This notice applies to the following AI-powered features available on the KonfHub platform:

• AI Photo Gallery
• AI Photo Booth
• AI Face Recognition for automated checkins
• Other AI features introduced from time to time

Each feature is optional and may be enabled or disabled by the event organizer depending on the event configuration.

Depending on the AI feature used, KonfHub may process:

• Name
• Email address
• Mobile number
• Event registration details
• Uploaded selfie
• Event photographs
• Facial feature representations generated by AI
• Image metadata
• Device information
• IP address
• Usage logs

KonfHub does not intentionally collect more personal data than necessary to provide the AI services.

We process AI-related personal data solely for legitimate platform purposes, including:

• Finding attendee photographs
• Organizing event image galleries
• Identifying the person coming to the event using face match
• Improving search accuracy
• Preventing duplicate photo results
• Delivering personalized attendee experiences
• Improving platform performance
• Detecting misuse or fraud

We do not use attendee photographs for advertising profiling or unrelated commercial purposes without appropriate consent where required.

Where required by applicable law, KonfHub processes AI-related personal data based on:

• the individual's consent;
• instructions received from the event organizer acting within its legal obligations; or
• other lawful grounds permitted under applicable data protection laws.

Where consent is the basis for processing, individuals may withdraw consent at any time, subject to applicable legal or contractual limitations.

KonfHub's AI systems assist with photo matching and recommendations.

AI-generated results are probabilistic and may occasionally produce incorrect or incomplete matches.

Users should not rely solely on AI-generated results where accuracy is critical.

Although our AI systems are designed to provide accurate results, facial recognition technology is not perfect.

Factors affecting accuracy may include:

• image quality
• lighting conditions
• camera angle
• facial coverings
• crowd density
• age of photographs

KonfHub continuously works to improve system accuracy but cannot guarantee perfect matching.

AI-related personal data is retained only for as long as necessary to provide the requested services or to meet legal, contractual, or operational requirements.

Retention periods may vary depending on:

• organizer settings;
• event configuration;
• contractual obligations;
• legal requirements.

Upon expiry of the applicable retention period, AI-related personal data will be securely deleted or irreversibly anonymized, unless continued retention is required by law.

KonfHub does not sell facial data or AI-generated facial representations.

AI-related personal data may be shared only with:

• authorized event organizers;
• authorized service providers acting on KonfHub's behalf;
• cloud infrastructure providers;
• AI technology providers engaged to deliver AI functionality, subject to contractual confidentiality and data protection obligations; or
• government authorities where disclosure is required by applicable law.

KonfHub implements appropriate technical and organizational measures to protect AI-related personal data, including:

• encrypted transmission using HTTPS/TLS;
• encryption of stored personal data where appropriate;
• role-based access controls;
• authentication and authorization mechanisms;
• audit logging;
• monitoring and incident response procedures;
• periodic security assessments.

Access to AI-related personal data is limited to authorized personnel with a legitimate business need.

Where available, individuals may:

• choose whether to upload a selfie for AI photo matching;
• withdraw previously provided consent where consent is the legal basis;
• request deletion of their uploaded selfie, subject to applicable legal or contractual obligations;
• request access to personal data held by KonfHub;
• request correction of inaccurate personal data; and
• contact us regarding concerns about AI processing.

Some requests may need to be routed through the relevant event organizer where the organizer determines the purposes and means of processing attendee data.

KonfHub and its authorized subprocessors may process AI-related personal data in jurisdictions outside the country where the data was originally collected.

Where cross-border processing occurs, KonfHub implements appropriate safeguards in accordance with applicable data protection laws.

We may update this AI Privacy Notice from time to time to reflect changes in technology, legal requirements, or our services.
